Terms and Conditions & Practice Agreement

Please review these terms carefully. They outline our working relationship, appointment booking policies, payment terms, and the scope of our virtual care services.

Section 1

Scope of Virtual Psychotherapy Services

Our practice provides virtual individual psychotherapy and mental health consultation services delivered by a Registered Psychotherapist in Ontario. Psychotherapy is a collaborative process designed to help you build coping skills, process emotional difficulties, and reach your personal wellness goals. Psychotherapy is not a substitute for immediate medical intervention or specialized psychiatric diagnosis.

Section 2

Client Eligibility and Ontario Jurisdiction

  • To receive virtual psychotherapy services from our clinic, you must be physically located within the Province of Ontario at the time of each scheduled session.
  • Due to cross-jurisdictional licensing regulations, our registered practitioners cannot conduct virtual clinical sessions if you are travelling or temporarily residing outside Ontario without prior written review and confirmation.
  • You confirm that you are at least 18 years of age or have legal capacity to provide informed consent for your mental healthcare.

Section 3

Fees, Invoicing, and Payment Terms

  • All session rates are stated in Canadian Dollars (CAD) and are clearly listed on our Fees page prior to booking.
  • Payment is collected automatically via secure credit card processing immediately following each completed session.
  • Official digital receipts containing practitioner registration numbers and credentials will be issued promptly upon payment for extended health insurance reimbursement.
  • Clients are solely responsible for confirming their personal extended health insurance coverage and reimbursement details prior to attending appointments.

Section 4

24-Hour Cancellation and Rescheduling Policy

  • Your session time is reserved exclusively for you. If you need to reschedule or cancel an appointment, you must provide at least 24 hours of advance notice.
  • Cancellations or rescheduling requests made with less than 24 hours of notice will be subject to the full standard session fee.
  • Missed appointments without prior notice (no-shows) will be billed at the full session rate. Repeated missed appointments may result in the suspension of future booking privileges.

Section 5

Urgent Care and Emergency Limitations

  • Our virtual practice is not an emergency psychiatric facility and does not provide around the clock crisis support.
  • Our communication channels, including email and contact forms, are not monitored for emergency intervention.
  • If you are experiencing an acute mental health crisis, active thoughts of self-harm, or severe distress, you must immediately call 988 (Suicide Crisis Helpline), contact 911, or go to the nearest emergency medical department.

Section 6

Client Environment and Technology Requirements

  • To ensure session confidentiality and clinical effectiveness, you agree to attend all virtual sessions from a private, quiet, and secure indoor space where you cannot be overheard.
  • You agree not to attend virtual sessions while driving, operating machinery, or in public settings.
  • You are responsible for maintaining a stable internet connection and compatible video device. If technical issues occur on your end during a session, your therapist will attempt to reach you by phone to complete the appointment.

Section 7

Communication and Electronic Messaging

  • Email and website contact forms should be used solely for scheduling, administrative inquiries, and non-urgent logistical questions.
  • Clinical discussions, emotional updates, and therapeutic work should be reserved for your live video sessions to protect your privacy and ensure proper clinical attention.

Section 8

Website Content and Intellectual Property

  • All educational articles, blog posts, worksheets, branding, and text published on this website are the intellectual property of the clinic and are intended strictly for personal, informational use.
  • You may not copy, reproduce, distribute, or sell any website materials without our express prior written permission.

Section 9

Modifications and Governing Law

  • We reserve the right to update or modify these terms at any time. Significant updates will be communicated on our website.
  • These terms are governed by and construed in accordance with the laws of the Province of Ontario and the applicable federal laws of Canada.
